This Privacy Policy describes how Community PBX, operated by NexusNet, collects, uses, and protects your information when you use our telecommunications services. We are committed to protecting your privacy while maintaining the security and integrity of our network.

2. Information We Collect

We collect the following types of information:

  • Account Information: Extension numbers, contact details, and account settings
  • Call Data: Call logs, duration, timestamps, and routing information
  • Audio Recordings: As detailed in our recording policy below
  • Technical Data: IP addresses, device information, and network usage statistics
  • Support Communications: Messages and communications with our support team

3. Call Recording Policy

Important Recording Information

Please read this section carefully as it details our call recording practices.

3.1 Inbound Call Recording

We record ALL inbound calls to our Community PBX system.

  • All calls coming into our network from external sources are automatically recorded
  • This includes calls from PSTN, AliX network, and other external systems
  • Recordings are used for quality assurance, security, and issue resolution
  • By calling our system, external parties consent to being recorded

3.2 Recording Review Process

We review recorded calls when issues are reported:

  • Recordings are reviewed when an issue is reported by a third party
  • Recordings are reviewed when an issue is reported by an internal party (community member)
  • Reviews are conducted by authorized administrators only
  • Reviews are performed solely for the purpose of investigating reported issues
  • Access to recordings is strictly limited and logged

3.3 Recording Retention

All recordings are automatically deleted after 365 days:

  • Recordings are permanently deleted from our systems after exactly 365 days
  • No recordings are retained beyond this period unless required by legal proceedings
  • Deletion is automated and irreversible
  • Users cannot request extended retention of their recordings

3.4 Outbound and Internal Call Recording

Outbound and internal recording is disabled by default:

  • Calls between internal extensions are NOT recorded by default
  • Outbound calls to PSTN/external networks are NOT recorded by default
  • Users may request outbound recording to be enabled for their extension
  • Requests for outbound recording must be made through our support channels

3.5 Enforcement Recording

We reserve the right to enable outbound recording for enforcement purposes:

If 5 or more reports of harassment, pranking, or other illegal/rule-violating activities are made against your extension with evidence, we hold the right to:

  • Enable outbound call recording for your extension without your consent
  • Monitor your outbound calling activity
  • Use recordings as evidence in enforcement actions
  • Share recordings with appropriate authorities if illegal activity is confirmed

Enforcement recording will remain active for up to 90 days maximum. This period may be extended only if:

  • Violations continue during the monitoring period
  • Legal proceedings require retention of evidence
  • Law enforcement requests extended monitoring

After the monitoring period ends, enforcement recording will be automatically disabled unless new violations occur.

4. How We Use Your Information

We use collected information for:

  • Service Provision: Routing calls, managing extensions, and providing features
  • Security: Protecting our network from abuse and unauthorized access
  • Support: Troubleshooting issues and providing technical assistance
  • Compliance: Meeting legal and regulatory requirements
  • Improvement: Analyzing usage patterns to improve our services
  • Enforcement: Investigating violations of our Terms of Service

5. Information Sharing

We do not sell or rent your personal information. We may share information only in the following circumstances:

  • Legal Requirements: When required by law, court order, or legal process
  • Law Enforcement: To investigate illegal activities or protect public safety
  • Network Security: To protect our network and other users from abuse
  • Service Providers: With trusted partners who help operate our network (under strict confidentiality)
  • Emergency Situations: To prevent harm to individuals or property

We implement appropriate security measures to protect your information:

  • Encrypted storage of sensitive data
  • Access controls and authentication systems
  • Regular security audits and updates
  • Secure transmission protocols
  • Limited access to recordings and personal data

7. Your Rights

You have the right to:

  • Deletion: Request deletion of your account and associated data

Note: Some rights may be limited by legal requirements or operational necessities.

  • AliX Network: For external connectivity (subject to their privacy policies)
  • PSTN Providers: For public telephone network access
  • Infrastructure Partners: For hosting and network services

We are not responsible for the privacy practices of these third-party services.

We may update this Privacy Policy periodically. Changes will be:

  • Posted on our website with an updated date
  • Communicated to users via email or system notifications for significant changes
  • Effective immediately upon posting unless otherwise specified
